Introduction
Websfarm Ltd ("Websfarm", "we", "us") operates websfarm.net and related digital properties (the "Service"). This Privacy Policy explains what personal information we collect, why we collect it, and the choices you have.
By using the Service, you agree to the collection and use of information described here. The terms used have the same meanings as in our Terms of Use, unless otherwise defined.
We are a controller of personal data for the purposes of the UK GDPR and the Data Protection Act 2018.
Information we collect
Information you provide
When you fill in a form, request a Diagnostic, or get in touch, we collect:
- Name, email, company, role;
- Whatever you tell us in your message or on a call;
- Communications history (emails, call notes, meeting recordings where consented).
Information collected automatically
When you visit the Service, we collect log data that may include:
- IP address;
- Browser type and version;
- Pages visited, time spent, referring URL;
- Approximate location derived from IP;
- Device type (mobile, desktop, tablet).
Cookies
We use a small set of cookies for analytics and (where applicable) chat/session continuity. Details are in our Cookie Policy.
Information from client engagements
During paid engagements we may process data on your behalf — CRM exports, analytics access, customer lists — to deliver the Service. We do this as a processor under your instructions and under a separate Data Processing Agreement.
How we use information
- To respond to enquiries and provide the Service you asked for.
- To deliver Diagnostic, Blueprint, Implementation, and Governance engagements.
- To improve the Service — site performance, content, UX.
- To communicate about projects, invoices, and (only with consent) occasional insights.
- To comply with legal obligations.
Legal basis for processing
Under UK GDPR Article 6, we rely on:
- Consent (Art. 6(1)(a)) — when you submit a form or accept non-essential cookies.
- Contract (Art. 6(1)(b)) — to deliver engagements we've agreed with you.
- Legitimate interests (Art. 6(1)(f)) — site analytics, security, service improvement.
- Legal obligation (Art. 6(1)(c)) — accounting, tax, regulatory compliance.
Sharing & sub-processors
We do not sell personal data. We share it only with:
- Hosting & infrastructure providers that run the Service (e.g. our hosting provider);
- Analytics providers where we've enabled them;
- Tools used to deliver engagements (e.g. CRM, analytics platforms) — under your instructions for client work;
- Professional advisers (accountant, lawyer) where necessary;
- Legal authorities where we are required to by law.
Sub-processors acting on our behalf are bound by written agreements requiring UK GDPR-equivalent protection.
Data retention
We keep personal data only as long as needed:
- Enquiries that go nowhere: 12 months, then deleted.
- Client records: duration of engagement + 7 years (tax / legal).
- Marketing consent: until you opt out.
- Server logs: 90 days rolling.
Security
We use commercially reasonable technical and organisational measures: TLS in transit, encryption at rest on infrastructure, access controls, and regular backups. No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but we work to minimise risk.
Your rights
Under UK GDPR you have the right to:
- Be informed about how we use your data;
- Access the data we hold about you;
- Rectify inaccurate data;
- Erasure ("right to be forgotten") in certain circumstances;
- Restrict or object to processing;
- Data portability;
- Withdraw consent at any time (without affecting prior processing).
To exercise any of these, email hello@websfarm.net. We respond within 30 days.
If you're not satisfied with our response, you can complain to the Information Commissioner's Office.
Links to other sites
The Service may link to third-party sites (e.g. case studies, tools, resources). We don't control their privacy practices — review their policies before submitting information.
Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent version. Material changes will be highlighted on the site or communicated directly to active clients.
